Trailside Member Check — booth kiosk
Central Washington chapter · volunteer outreach proposal
A simple iPad kiosk for our trailside outreach booth. A rider walks up, types their name, and instantly sees whether their Evergreen membership is active, when it expires, and how long they’ve been a member — in Evergreen’s own branding. If they’ve lapsed or aren’t a member, they can renew or join on the spot, on their own phone or the iPad. Every interaction is logged so we can show the booth’s real impact.
How it works
- Rider enters their name. Forgiving search handles nicknames, typos, maiden names, and household memberships.
- Status appears instantly — active, expiring soon, expired, or not found — with type, chapter, expiration, and length of membership.
- Renew or join via a QR code to their phone (secure payment on their own device) or right on the iPad. Not a member? Capture their email for follow-up.
Why it helps Evergreen
- More renewals — catches lapsed & expiring members at the moment they’re standing in front of us.
- New members — turns a “not found” into a two-minute join.
- Proof it works — join links are tagged so signups are attributable to the booth.
- Warm leads — non-members opt in; we follow up by email.

What we need from Evergreen
- Statewide roster access — today it carries only the Central roster, so members from other chapters show “not found.” Statewide data lets it recognize any Evergreen member & work at every chapter’s events.
- A current export, refreshed weekly, to stay accurate
- OK to tag the join link so booth signups are trackable
